Alternate Exam Policy

Alternate exam times will only be considered for the following requests:

● unavoidable course or exam conflicts (Must be truly unavoidable as in you should not take 2 classes with conflicting meeting and exam times unless you need both classes that particular semester in order to graduate.  Submit request before the add/drop deadline.)
● religious observances (submit request before the add/drop deadline)
● approved medical conflicts due to illness or surgery (submit request before exam; medical documentation required)
● approved U-M Varsity athletic competitions and travel (request as soon as you know about the conflict)
● approved Club Sport competitions and travel (request as soon as you know about the conflict)

No modification to exam scheduling will be permitted for sports practices, club meetings, non-university travel, or most other circumstances outside of those listed above. Requests for graduate school interviews or job interviews will be at the discretion of the course instructor.

Alternate Exam Scheduled Times

All intro Physics course instructors have one set alternate exam time for each exam.  This is only for students who cannot attend the regular exam time for an approved reason and have submitted and had their alternate exam request approved through the Physics Student Services Office through the process outlined below.

The regular exam times and alternate exam times for the Winter 2024 semester are as follows: Note: alternate exams will take place closest to the date of the missed exam. The dates listed in the table for regular and alternate exams are ordered accordingly (ex: For those approved to miss the regular exam on Monday, February 5 in P140, the alternate will be Thursday, February 8.)

IMPORTANT: These posted alternate exam times for each class are the only option other than the regular exam time.   No other alternative times will be considered.

 

Alternate Exam Request Form

All alternate exam requests for all sections of PHYSICS 140, 150, 240, and 250 need to be submitted using the alternate exam request online form.  Documentation is required for all alternate exam requests. Submission of the alternate exam online form does not automatically guarantee an alternate exam will be granted, as all requests are subject to the alternate exam policy and approval of the instructor. 

Students should fill out the request form well in advance of the conflict (beginning of the semester whenever possible) in order to provide the Student Services Office and course instructor sufficient notice and to enhance the chance of their request being approved.

All requests for alternate exams should be submitted, with supporting documentation, at least 2 weeks prior to the exam.  Requests submitted within 2 weeks of an exam date may not be granted. 

Requests submitted after the exam has passed, even with proper documentation, will not be granted. Please refer to the class syllabus for all questions regarding make-up or excused exams. 

 

Request Guidelines and Documentation Upload Reminders:

For unavoidable conflicting class or exam time requests, use the Alternate Exam Request Form and upload a copy of your weekly class schedule. Unavoidable course conflicts do not include signing up for a course that runs at the same time or near to the same time as the Physics exams. Submit request by the drop/add deadline.

For religious holiday observance requests, use the Alternate Exam Request Form and upload a pdf with your name and a very brief description of the holiday observance. Please note that religious observances only include holidays and do not include celebrations like weddings, bar/bat mitzvahs, baptisms, etc. Submit request by the drop/add deadline.

For Medical (medical event, illness or surgery) conflicts, use the Alternate Exam Request Form and upload medical documentation from a doctor specifically stating that the student is unable to attend class on the specific exam day.. A general note that a student was seen by a medical practitioner is not specific documentation and will not result in an alternate exam date. In the event of a medical event or illness, students should still submit their request before the exam (as soon as they know they will likely have to miss the exam) and must follow up with medical documentation (email to physics.sso@umich.edu) as soon as they have it.

For Varsity athletic competitions and travel conflicts, use the Alternate Exam Request Form and upload a notification of absence letter from the Athletic Department stating the dates of the competition and travel, if applicable. An exam proctor or academic advisor will be necessary in order to conduct the exam as an away exam. Alternate exams for varsity athletic competitions might instead be held upon the arrival of the student back to campus if approved and if possible with the course's scheduled alternate exam time. Submit as soon as you know about the conflict.

For club sport competitions and travel conflicts, use the Alternate Exam Request Form and upload a notification letter from the Department of Recreational Sports listing the name of the student and the dates of the competition and travel, if applicable. Club sport competitions are not guaranteed to be granted an alternate or away exam. If a University employee traveling with the team is available to proctor, an away exam might be considered. An alternate exam might instead be held upon the arrival of the student back to campus if approved and if possible with the course's scheduled alternate exam time. Submit as soon as you know about the conflict.
